INITIAL LETTER. Although the foundation is often dealing with grantees to whom they have made prior grants, an initial letter requesting funds is required IN EVERY CASE. This initial letter must include the purpose for which the funds are requested, the amount requested and a brief statement of how the grant will achieve one of the Foundation objectives listed in the CRITERIA FOR GRANTS tab of this website. Where the Foundation makes a multi-year conditional grant, the initial letter for grants based on fulfillment of conditions must state the reasons why the condition has been met with appropriate documentation. These letters should be mailed to the Foundation. They will not be accepted over the phone or by e-mail. On the basis of this letter a determination will be made whether or not the request fits current foundation criteria and whether or not there is a reasonable chance that the grant could be funded considering available funds and prior commitments. If funding is not likely, the potential grantee will be so advised so the time and expense of going through the complete grants process without a chance of funding will be avoided.

APPLICATIONS. Where the Foundation wishes to pursue the request for a grant, it will provide an application form to the applicant. If the grantee wishes the application form to be sent by e-mail, this needs to be requested in the initial letter with an e-mail address provided. If this email request is not made, the application will be mailed. Regardless of how the application is provided, the Foundation requires that a hard copy of the application together with required attachments be mailed or personally delivered to the Foundation office.

SITE VISIT AND FOLLOW UP. After the application is received, the potential grantee will be contacted if any additional information is needed. In the case of new applicants and most projects, the Foundation will schedule a site visit. If potential grantees have any questions, the inquiries should be sent to the Foundation by mail or to Mr. Ellsworth by e-mail at peter@benboughfoundation.org or made by telephone to the office.

TIME REQUIREMENTS.
  1. Grant Requests for Balboa Park Institutions. These projects often require significant advance planning by the organization and the Foundation. Accordingly, the Foundation will receive initial letters requesting a grant at any time during the year. The more lead time until funding is required, the better.

  2. All other Grant Requests. The Foundation makes all other grants only on April 15 or October 15. The Foundation requires that it receive applications for these distributions no later than March 15 and September 15 respectively. The initial letter which preceeds the application must be received by February 15 and August 15 respectively. This time is necessary to research the proposal, make one or more site visits and to develop an appropriate relationship with the grantee.

  3. Timing of Application. The applications are reviewed in the order in which they are received. If you are selected to submit an application, the sooner that you complete the application and mail it back to the foundation, the better your chance of funding. We generally have expended all available funds before the final date that the applications are due.
